onlyfy Application Manager offers you two types of video interviews: passive interviews that are already part of the application, or active interviews that you conduct with your candidates as part of the application process.
1. Application via video
Having candidates answer questions with a video better provides you with a first impression of them before meeting in person. You can integrate video responses throughout the application process by adding them to your questionnaires.
Set up a video custom question
First, create an additional question under ´Settings´ (1) > ´Applications´ (2) > ´Custom questions´ (3) by clicking on ´Create new question´ (4). In the next window, fill in the following fields:
- Title (5): Important for the internal identification.
- Answer type (6): Video
- Maximum length of the video recording (7): You can choose between five different video lengths up to a maximum size of 200 MB. A short sequence is usually sufficient to get a first impression of the person. In addition, a short recording can be processed faster by the system.
- Question and description (8): Insert the question for the candidates and, if desired, a short description of the task. These fields are visible for the candidates.
- Languages (9): Do you use multiple languages? So enter the question and the description in the desired language as well.
- Save (10): The custom question will be created as soon as you click on ´Save´.
Then add this new additional question to your application process (either directly in the standard process in the settings or as part of the job creation). You can add the video question to your questionnaires just like any other custom question.
To answer the question, candidates can either upload a pre-recorded video file or record a short video directly in the browser. This works both on the computer and on mobile devices. Let's take a look at the process from the candidate's perspective in the next section.
Submit video as candidate
To submit a video answer, candidates simply need to record a video with their device's integrated camera. Of course, it is also possible to upload a pre-recorded video file. However, some browsers do not support the direct recording of a video. If the applicants use such a browser, they will be notified of this by the system. In any case, uploading files is supported by all browsers.

To enter the recording mode, the candidate clicks on the ´Record video´ button and then starts recording by clicking on ´Start recording´.

Important notice for your candidates
When clicking the button to record a video, the browser will ask the user to permit access to their connected camera and microphone. This needs to be allowed by the user or otherwise the recording will not work. In case this message is not appearing, the candidates should check their browser settings because potentially camera and microphone have previously been blocked.

Once the recording is done, the candidates can play back and review the video. If the quality does not meet their own requirements, the video can be removed by clicking on the X symbol and the recording can then be repeated. If a pre-recorded file is uploaded, it can of course be replaced if necessary.
View video answers
Once the video is uploaded and the application or questionnaire is completed, you as the recruiter can view it in the candidate´s profile. Uploaded videos can also be viewed by your candidates in the candidate center.
2. Interview via video calls
Conduct video calls using either one of our video conferencing integrations or your own video conferencing provider connection.

Jitsi
To enable online interviews directly through Application Manager, we have chosen a secure and self-hosted solution: the open source video conferencing application Jitsi. Through this integration, you can invite candidates to video interviews and conduct video calls directly via Application Manager.

In case you are conducting video calls on your work device and/or within your work network, please make sure – with assistance of your IT admin – that your browser is able to connect to meeting.prescreen.io (IP 195.201.175.25) on ports 443 (TCP), 10000 (UDP), 80 (TCP) and 4443 (TCP). This improves connectivity, e.g. in setups where users are located on computer networks which are behind Internet gateways that perform network address translation (NAT).This is required to guarantee a stable connection during the calls. Please make sure this setup is performed for all colleagues who would like to participate in video calls.

Invite candidates to video interviews
Create a new meeting invitation in the candidate profile (1). Select ´Video call (automatic link)´ (2) for the appointment type, fill in the fields accordingly and click on ´Add invitation´ (3).
In the next step, you can write a message to your candidates and attach the link to the video meeting room. You can find the link placeholder under ´Placeholder´ (1) > ´Meeting´ (2) > ´Meeting link of the attached meeting´ (3). Now view the message preview (4) and send the invitation to your candidates.
Conduct video interview
To access the virtual meeting room, click on the link in the appointment invitation that you sent to your candidates. The meeting room is accessible 30 minutes before the start of the interview and will remain available for several hours after the meeting has taken place.
Before the call: Allow your browser to access both your camera and microphone. Once you join the call, the camera will be disabled by default, while your microphone will be enabled.

For the video function of Application Manager to work properly, this integration must be allowed by all participating persons. If you do not receive a request from your browser, it may be that access has been blocked by your IT admin. In this case, please read the documentation of your browser or contact your IT admin.

During the call: You can (de)activate your microphone and camera at any time. Also use the chat to communicate with everyone in the interview.
After the call: The video call room will automatically be deactivated some time after the meeting's scheduled end.
Use your own video conference link
Besides Jitsi, you also have the possibility to insert the link of your video conference provider in the appointment invitation. Create a new invitation (1), select ´Video call (add own link)´ (2) as the appointment type and insert your link in the ´Your meeting link´ field (3). Please pay attention to the correct format when entering the link. For example https://www.ihrlink.com.
