Read this article to learn how to create and manage both your personal and company signature in just a few steps.
1. Create signature
We distinguish between a company signature and a personal signature. The company signature is deposited by a user with admin rights and can only be changed by this user.
Do you have admin rights? Thus, go to "Settings" (1) > "Messaging" (2) > "Company signatures" (3) to change the company signature (4).
Anyone can change the personal signature themselves if the corresponding authorization has been granted by the admin. To do so, click on your profile icon and then on "My profile" > "Edit personal signature".
If you are unable to change your signature, please contact your admin.

To check the accesses, go to "Settings" (1) > "Access management" (2) > "Access groups" (3), select the group you need and click on "Edit" (4) > "Access" (5). Go to the category "Messages" (6) and activate the option "can edit the personal signature for messages" (7). So now the persons of this group can change the personal signature.

2. Customize signature
You can format the company signature as well as your own and adapt it to your corporate design.
2.1 Formatting
In the menu bar you will find the most common formatting options.
2.2. Insert content
You also have the possibility to add links, images and tables to your signature.
Links
Place a link in your signature by clicking the link icon (1). Insert the link into the "URL" field (2) and define the text to be displayed under "Text do display" (3).
Images
Add an image to your signature using a link. To do this, click with the mouse at the place where you want to insert the image and select the icon for image editing (1). Now enter the full URL of the publicly hosted image (https://...) in the "Source" field (2) and save the changes (3).
Please note that your image only has an online path (URL) if it has been uploaded to the internet. If you do not have a URL, we recommend that you seek the advice of your IT department.
Tables
You are also welcome to include a table in your signature. A wide range of formatting options is available to you.
Placeholder
We recommend you to use so called placeholder in your signature, so that your data, like name, contact data, position is automatically taken from your profile. If something changes later, it is enough to change the data in your profile.
Popular placeholder in the signature:
Placeholder | Description |
---|---|
%firstname% | Your first name |
%lastname% | Your last name |
%position% | Your position |
%companyname% | Name of your company |
%phone% | Your phone number |
%email% | Your e-mail address |
3. Insert signature in messages
Add signatures to messages by selecting the desired signature from the "Signature" drop-down menu.
