The ´Settings´ section allows admins to configure Application Manager and manage access, processes and integrations. Read more about the feature in this article.

Overview
Go to ´Settings´ by clicking on the gear icon (1) in the top right hand corner. You will then be able to see your company details, including your logo, and the job slots available in the overview.
Available actions:
- Change logo (2): Click on the image to upload or change your logo.
- Change company data (3): Click on ´Edit´ to enter or change the company name, company size, website, e-mail, phone and address.
- Request more job slots (4): Click on ´More jobs´ to request more job slots.
Access management
You can perform the following actions in each of the menus in the ´Access management´ section:
- ´Users´: Assign access to your colleagues and edit active users in this section.
- ´Recruiter teams´: Create recruiter teams to make it easier for different teams to work together.
- ´Institutions´: Institutions can be used to represent subsidiary companies, branches or contractors who work with your onlyfy Application Manager.
- ´Access groups´: Access groups allow you to specify access rights and notification settings for your different user segments. On this page you can modify existing access groups or create new ones.
Privacy & data processing
We can help you make your recruitment process GDPR compliant. You can find the following information and settings in the ´Privacy & data processing´ section:
- Information on data protection information and documents
- Options for application related and extended data retention
- Information on data processing by onlyfy
- Information on data processing by your company
- Data protection contact of your company
Applications
You can find all the settings relating to applications in the ´Applications´ section.
- ´Application settings´: Allow speculative applications, enable CAPTCHA to prevent spam applications, and customize candidate registration settings.
- ´Application process´: Decide which steps applicants go through by creating customized application processes for your vacancies.
- ´Application sources´: If you are asking candidates for their application sources, you can define these application sources in this section.
- ´Hiring process´: The hiring process shows the steps an application goes through from creation to final decision. We provide you with a standard hiring process, but you can also create your own.
- ´Custom questions´: Create custom questions to obtain specific information, documents or videos from candidates.
- ´Questionnaires´: Create a questionnaire from several custom questions.
- ´Candidate Tags´: Tag interesting applications and create your own structured view of the most interesting candidates in onlyfy Application Manager. Create the tags in this section.
- ´E-mail applications´: E-mail applications allow you and your candidates to send application e-mails to an inbox. From there, all relevant information (name, attached CV, etc.) gets automatically extracted and is turned into a new application. There is one general inbox address for speculative applications and one specific inbox per job (is displayed in the relevant job).
Jobs
You can edit the following settings in the ´Jobs´ section:
- ´Job templates´: Use our standard templates or create new ones for your jobs in this section.
- ´Custom data fields´: Create custom data fields to capture more information about your job.
- ´Custom job boards´: If a job board is not integrated into Application Manager, you can create a customized job board by entering the details of the desired job board. In this way, all data can be emailed directly from Application Manager to the relevant contact person.
Messaging
Use this section to define the message settings for your company.
- ´Message settings´: Set general message settings such as signatures, attachments and tracking.
- ´Message templates´: Use our standard templates or create your own message templates.
- ´Notifications to applicants´: In this section you will find the automatic system messages sent to your candidates.
- ´Company signatures´: This section allows you to manage the general company signature.
Active sourcing
Active Sourcing lets you independently find and reach out to candidates for your vacancies. In this section you will find all information about the onlyfy Talent Hub, XING profiles and job ad visitors.
Integrations
We call integrations solutions from third parties or from onlyfy that you can add to your account. The following integrations are available:
- ´Candidate center´: The candidate center is a mobile-optimized career site that allows you to view, search and filter your vacancies on one page. You can find the link to your personalized candidate center in this section.
- ´Website widget´: The website-widget integrates seamlessly into the customer’s website and automatically displays all published jobs. Additionally, you can display a search bar and handy filters. In this section you will find your widget code and a preview.
- ´Widget Configurations´: This section allows you to configure your website widget.
- ´Job feed´: The job feed is the most flexible way to embed your job openings to your personal career site. It allows you to access and format all published job openings 100% individually. As this integration is very technical, you might need to ask your development department for help.
- ´Rest API´: With our powerful REST API you can read and write data from and to onlyfy Application Manager by using simple HTTPS requests.
- ´Single sign-on´: Single sign-on (SSO) allows users to login into onlyfy using an existing identity. We utilize SAML SSO in order to provider a secure and standardized authentication mechanism. Here you can add and manage multiple SAML 2.0 Identity Providers.
- ´XING integration´: Link your onlyfy account to your XING profile. You can then use the XING TalentManager to search for talents, view candidates' XING profiles and post jobs on XING.
- ´HR-BA-XML integration´: Post your job vacancies in Germany on the Federal Employment Agency's (Bundesagentur für Arbeit) job board. Thanks to the direct connection in onlyfy Application Manager, this is possible with just a few clicks. To set up the integration, enter the relevant details here.
- ´LinkedIn integration´: You can allow candidates to apply using their LinkedIn profile. Please note that LinkedIn only allows the following data to be transferred: first name, last name and e-mail address.
- ´Calendar´: Our calendar integration enables the real-time scheduling with availability preview of resources and contacts as well as invitation status updates. The calendar integration is provided by Cronofy Ltd, a scheduling API service. Cronofy supports Exchange, Outlook, Office 365, G-Suite (Google Apps for Business) and Apple iCloud calendar clients.

´Reviews´: Request evaluations from candidates and employees, receive and evaluate feedback directly in Application Manager. By using a placeholder you can integrate the links to the feedback forms into your messages. You can view the received reviews in the ´Reports´ section.
You also have the option of connecting Application Manager to kununu to automatically publish reviews on kununu. - ´WhatsApp integration´: Our WhatsApp integration allows candidates to apply for your jobs via WhatsApp.
Billing
Under ´Billing´ you will find all your billing information.
- ´Invoices´: Find your invoices here.
- ´Job board billing info´: Here you can store billing information for your job boards.
- ´Job board bookings´: This view shows you the job board bookings you have made.
Automated workflows
Automated workflows give you the power to run entire processes automatically based on rules. By defining triggers, conditions and actions, you can automate an entire chain of work steps. You can also link individual conditions together to further optimize the hiring process. In addition to our standard workflows, you can also create your own ones.
