In order to enable a quick start in the Application Manager, we have compiled some useful tips on the topic of automation in this article.
Message templates
Would you like to make your communication professional and still spend less time writing messages? Our message templates make it easy: use our templates or create your own under "Settings" (1) > "Messaging" (2) > "Message templates" (3).
Process automation
Automate time-consuming routine tasks, such as sending out rejections or collecting feedback, using the "Automated Workflows" feature. You can perform the following tasks using the standard workflows:
- „Rejection e-mail“: Automatically send a rejection e-mail to the person applying as soon as the application status has been changed to "ABGESAGT" (rejected).
- „Feedback after new hire“: Automatically send an invitation to evaluate the application process as an e-mail to newly recruited employees if the last change in application status was two days ago and it has been changed to "EINGESTELLT" (hired).
You can find the workflows in "Settings" (1) > "Automated workflows" (2). Click on "Disabled" (3) to activate them.
Customers with an onlyfy Pro or Ultimate price plan also have the option of creating additional workflows by clicking on "New workflow".

Privacy & data processing
Our Application Manager supports you in designing your processes in accordance with the European Data Protection Regulation. You can find all the information under "Settings" (1) > "Privacy & data processing" (2). If desired, you can adapt the settings to your company's requirements.
Test the application process
In order to implement an optimal application process, we recommend that you test your own processes by applying for your jobs yourself.
Please note that the e-mail address in Application Manager serves as the user ID, so you can only apply once with your e-mail address. However, you can get around this logic in your tests by using the following trick: create a "new" e-mail address (so-called alias address) from your e-mail address using the plus sign. Take your e-mail address, add a plus sign after your name and before the @ symbol, as well as any word. For example:
- Your e-mail address: max.mustermann@mycompany.com
- New alternative e-mail address: max.mustermann+recruiter@mycompany.com
The e-mail address will be recognised as a new e-mail address by Application Manager and you can re-apply. You will receive the notifications as usual to your original e-mail address.
