This glossary defines common terms that may be encountered when working with the TalentManager or in our Help Center.

A
Activity in candidate profile
In the "Activities" tab of the candidate profile, TalentManager users can view all activities (project assignments, changes in recruiting status, etc.) for this candidate – as well as the activities of your team.
Activity in talent pools
In all talent pools, users can view activities via the "Activities" tab to identify when it is particularly opportune to approach certain talents.
The following activities, including the time of change, are displayed:
- Increase in willingness to change jobs (calculated based on over 50 criteria)
- Change in career status
- Start following a company
- Viewed a job posting
- Lists the company as a desired employer
Promising talents can be saved in talent pools and monitored through the Activity tab to approach them at the right moment.
Administration
In the administration tab, administrators can make various settings. Here, administrators can manage projects and pools, customize settings for candidate management, link employer profiles, assign access rights in team management, and configure settings for team messages.
Administration of Recruiter Insights
In the administration section of "Recruiter Insights," settings for the team's top recruiter comparison can be defined (industry, number of employees) or email notifications for metrics can be activated on a monthly basis.

Administrator
The administrator is a role in TalentManager that has full permissions. In addition to the tasks of a recruiter, as an administrator, you can perform the following:
- Manage projects
- Manage pools
- Manage team messages
- Assign and remove licenses to team members
- View the performance of individual members of your recruiting team
- Adapt talent and project statuses to your recruiting processes

Automatic pools
Automatic pools are talent pools available for TalentpoolManager users who use other XING products and solutions (Employer Branding Profile and job ads by XING). Here, candidates are automatically assigned to specific pools based on predefined criteria (followers, desired employers, employees, visitors to job ads). This simplifies the management and access to potential applicants for open positions.

Bulk message
The Bulk-Messaging feature in the TalentManager allows up to 20 candidates to be contacted and messaged simultaneously, making it simple and efficient. Depending on the license, up to 3 bulk messages can be sent per day. Bulk messages are deducted from the message quota per recipient (for initial contacts).
C
Campaign
Through targeted campaigns, relevant job offers from the XING job market can be sent to multiple individuals from the talent pool simultaneously. This feature is only available to users of the TalentpoolManager. This enables promising talents to be informed about new job offers with just a few clicks and to maintain contact with them easily.
Candidate
In TalentManager, candidates are potential applicants for open positions in a company. They can be found, contacted, and invited to apply for open positions through the TalentManager. Companies can search and filter candidates in the TalentManager based on specific criteria to find the best suitable applicants for their open positions.
Candidate list
The candidate list in the project or pool provides a compact view of candidate profiles. The following information about the candidates can be seen at a glance:
- Personal information (photo, name, current position, current employer, XING membership status)
Activities (profile visits, requested or given reviews, conversations, notes, projects where the talent is listed, assigned status) - Profile match (automatically calculated based on the information about the talents and the job details indicated in the project)
- Together with additional information on skills, experiences, job change motivations, and highlights, recruiters can easily identify their perfect match.
Candidate profile
The candidate profile in TalentManager is an online dossier created by candidates on XING to present themselves to potential employers. It contains information about professional experiences, qualifications, skills, education, and career goals. In addition, recruiters receive information on correspondences, notes, activities, requested and given reviews. The profile aims to provide recruiters and companies with a comprehensive insight into the candidates' professional profile, enabling them to better assess whether the candidates fit open positions in their company.
Candidate statuses for talent pools
The candidate status allows users to document the phase of the application process a specific talent is in. Within a project or pool, the talent is assigned a status by the respective recruiter, which can be changed at any time. To set or change the candidate status, administrator rights for TalentManager or TalentpoolManager are required. The status cannot be set based on a project or pool but only for all projects or pools.
Colleagues
"Your Colleagues" is a tab in the navigation menu of the "Recruiter Insights" section in TalentManager. Here, administrators receive employee statistics for a selected period. It provides a summary of the overall team performance, listing individual team members. This table enables the identification of how effectively the TalentManager is being utilized and where there may be potential for improvement. The metrics can be exported at any time.
Correspondence
In the "correspondence" tab of the candidate's profile, TalentManager users can find all messages written by them or their team with this candidate. There is an option to join a conversation, enabling users to engage in conversations with the members and track the entire message history.

Dashboard
The dashboard in the TalentManager provides a summary of recent activities such as recent searches or created search orders, last viewed profiles, and latest activities.
Details
In the "Details" tab of a project, TalentManager users can access comprehensive information about the project (name, status, job description, and company details). Additionally, the "Smart Templates" function can be activated here.

Employee pool
The automatically generated talent pool consists of all individuals who have listed the company as their employer in their personal XING profile.
Employer profiles
In the "Employer Profiles" section of TalentManager, multiple employer profiles can be linked. Two automatic pools are generated from all linked employer profiles: one pool contains all followers of the employer profile, and the second contains XING members who have listed the company as a desired employer. This linking can only be done by an administrator.

Experience
In the TalentManager, "experiences" are work-related information stored in a user's personal XING profile. This includes details of previous professional activities, positions, industries, tasks, and accomplishments. Companies and recruiters use the experiences provided to identify candidates with relevant professional backgrounds and competencies required for open positions.

Follower pool
The Follower Pool is an automatically generated talent pool that includes all XING members who follow a specific company profile on XING.
I
Ideal employer pool
This automatically generated talent pool contains all XING members who have specified a company as their dream employer in their personal XING profile.
Inbox
The inbox in the "Messages" section of the TalentManager contains both private XING messages and correspondences (work conversations) with talents, as well as saved templates. Private messages are marked with the XING icon and are visible only to you. For a better overview, you can search for senders or keywords within the messages in the search field. Additionally, there is the option to filter messages in the inbox by "All," "Unread," and "Flagged."
J
Job ad visitors
The automatically generated talent pool consists of all individuals who have clicked on job postings by XING in the last 12 months.
M
Manage pools
In the "Manage Pools" section, administrators can view all created pools, manage and set the talent pool status, and manage the candidate status for pools.
Manage projects
In the "Manage Projects" tab in the "Administration" section of TalentManager, administrators can view all created projects, manage and set the project status, and manage the candidate status.
Messages in Recruiter Insights
In the "Messages" section of the "Your Performance" and "Team Overview" tabs in "Recruiter Insights," users can access metrics such as:
- The number of conversations initiated.
- The percentage of new conversations initiated by talents that have been responded to (response rate) or where feedback is still pending.
- The number of unread correspondences.
- The average wait time for responses.
The data always pertains to the specified period.
Messages
The message section of the TalentManager contains both private XING messages and correspondences (work conversations) with talents or other users of the XING network, as well as saved templates. Private messages are marked with the XING icon and are visible only to you. For a better overview, you can search for senders or keywords within the messages in the search field. Additionally, there is the option to filter messages in the inbox by "All," "Unread," and "Flagged."
My pools
Every user of the TalentpoolManager can create their own talent pools, where they can store promising talents from the TalentManager search in a talent pool, for example. The pools can be shared with other team members (team pools). Additionally, individuals without an XING profile can be uploaded and saved here. This allows all talents to be stored, managed, and monitored in one central location.
My projects
My projects are personal projects which are created, managed, and edited by individual users. Only the user and administrators have access to the project. The project can be shared with other team members and provided as a team project. Administrators have the ability to manage their own project, such as assigning it to another team member in case of resignation, sharing it as a team project, archiving, or deleting it.
My search
Save search is s search assignment in TalentManager refers to a custom search created to meet specific criteria and identify potential candidates for open positions or projects. These saved search can contain various filters and parameters, such as skills, experience, location, or other relevant characteristics. Once a search assignment is created, the TalentManager automatically conducts regular searches and notifies users of new candidates that meet the defined criteria.

Notes
In the "Notes" tab of the candidate's profile, TalentManager users can find all notes written by them or their team regarding this candidate. Additionally, a new note can be written in this section.
P
Profile
In the "Profile" tab of the candidate's profile, users of TalentManager receive detailed information about work experience and education, reasons for job change, contact information and preferences, portfolio (if used), talent's contacts, and similar profiles. For ProJobs members, additional details regarding travel and relocation readiness, preferred work locations, ideal jobs/employers, salary expectations, preferred fields of work, and industry are also available.
Profile match
In TalentManager, a profile match refers to the system's ability to assess the compatibility of a candidate's profile with the requirements of a job posting or recruitment project. The system automatically compares a candidate's skills, qualifications, and experiences with the requirements specified in the job description or project requirements. The result is a percentage match value indicating how well the candidate's profile aligns with the specific requirements. Users can utilize profile matches to identify potential candidates whose skills and experiences best match the requirements of the open position.
Project status
The project status indicates the current status of a project, such as whether it is active or completed. This helps to maintain an overview, especially when managing multiple projects simultaneously and when working as a team in TalentManager. Standard status designations are provided and can be individually customized by administrators.
Projects
Projects in TalentManager are created to support the long-term goals of the company or organization in terms of talent acquisition and development. They include precise details (job descriptions), matching candidates, recommendations for suitable candidates, and current project status. Additionally, they include an evaluation of results (statistics) to measure and improve success. There are individual projects and team projects, which can be active or archived.
Q
Quick reply
A "Quick reply" in TalentManager refers to a predefined answer that can be used to quickly respond to messages or inquiries from contacted talents.
R
Recommendations
Recommendations (or candidate recommendations) are automatically generated by an algorithm in the TalentManager and are based on a project. The algorithm utilizes multiple sources of information and recommends suitable talents from the XING database based on the project details you have provided.
Recruiter
The role of a recruiter is determined by an administrator. Recruiters search for suitable talents on XING and interact with them.
They can perform the following tasks:
- Create projects, pools, and work with shared projects/pools as well as read shared messages
- Write messages to talents
- Share messages with the team
- View their own and the team's performance.

Recruiter Insights
Recruiter Insights in TalentManager are information and analyses available to users. With this feature, HR professionals in companies can gain insights into the data and activities related to the search for candidates and interaction with applicants in TalentManager. This allows recruiters to evaluate the effectiveness of their recruitment strategy, identify trends, and derive measures to improve the recruiting process. Recruiter Insights provide statistics on profile visits, applications, response rates, candidate qualifications, and other relevant metrics.

Response rate
The response rate indicates the percentage of new correspondences initiated through the TalentManager that were responded to by candidates.

Reviews
In the "Reviews" tab of the candidate profile, TalentManager users can find all requested and given reviews for this candidate.

Search
The search function in TalentManager allows users to specifically search for certain profiles or candidates within the XING platform. This search enables users to use various criteria such as skills, experience, education, or location to find suitable candidates for open positions, projects, or pools. The search can also be combined with filters to further narrow down the results and increase the relevance of the matches.
Share with team / share message
Correspondences with relevant information can be shared with team members in TalentManager. The shared messages are visible to everyone, and individual permissions are not possible. However, access to a message can be revoked.
Shared pools
A shared pool is a talent pool that has been shared by the creator as a "team pool." All users of the TalentpoolManager have access to this pool.
Skills
In the TalentManager, "Skills" are qualification-related information stored in a candidate's profile. These skills can range from professional to soft skills and knowledge. When candidates fill out their profiles on XING, they can list their skills and knowledge to highlight their relevant competencies to potential employers. Companies and recruiters use the skills provided to identify candidates whose abilities and qualifications match the requirements of open positions.
Smart pool
A smart pool is a talent pool in TalentpoolManager created and automatically updated based on the entered search criteria: New talents that match the search criteria are automatically added to the smart pool.
Smart templates
Smart Templates create automatically generated yet individual messages that can be sent to talents. These are created based on project details, information from the candidate's profile, and data from the company profile, and are applicable to all candidates.
Statistics of a pool
In the "Statistics" tab of a pool, users of TalentpoolManager receive a detailed overview of the work and progress of the talent pool. This includes various data that enable a company to track the progress and effectiveness of its pools, such as candidate information, correspondence, and response rates.
Statistics of a project
In the "Statistics" tab of a project, users of TalentManager receive a detailed overview of the work and progress of the project. This includes various data that enable a company to track the progress and effectiveness of its recruitment projects, such as candidate information, correspondence, response rates, and pending evaluations.
Talent pool status
The talent pool status defines the processing status of a pool, such as active or completed. This allows for keeping track, especially with many concurrent projects and in the team. Standard status designations are given, but administrators can customize them.
Talent pool
A talent pool is a central HR database where competency profiles of promising applicants, (former) employees, and potential talents are managed to support future job placements or project requirements. Companies use talent pools to proactively connect with potential candidates who may be suitable for future job openings in the company. This can help speed up the recruitment process and facilitate the procurement of professionals.

Talent radar
The Talent Radar visualizes the talent market and helps to optimize recruiting strategies. This allows you to develop a better understanding of the respective market - and as a result, to use more efficient searches and better targeting of the right candidates. Discover potential candidates locally, their career aspirations, salary expectations, and willingness to move with the Talent Radar.
TalentManager
The TalentManager is a professional active sourcing tool that helps to identify, develop, and promote suitable talents and professionals in a specific job market. It aims to find and place the right candidates for suitable professional positions. The TalentManager uses the resources and networks on XING to discover, contact, and support potential talents. Both companies and individuals can use the TalentManager.
TalentpoolManager
The TalentpoolManager is a feature of the TalentManager that allows users to create, organize, and manage talent pools and access automatically created talent pools. These pools contain potential candidates for future job offers or projects. The TalentpoolManager offers tools for managing candidate profiles, such as adding new profiles, tagging or marking candidates with relevant information, commenting or rating profiles, and filtering or searching within the pool. By effectively using the TalentpoolManager, companies can build and maintain a pool of qualified candidates to quickly respond to future staffing needs.
Team messages
Team messages in the TalentManager are correspondences shared with team members. This allows team members to communicate, exchange information, and facilitate collaboration on recruitment tasks.
Administrators have the option in the navigation menu under the "Team Messages" tab to view, join, and manage all correspondences made through the TalentManager and shared with the team, such as deleting or no longer sharing them.
Team overview
The team overview in the Recruiter Insights section provides a summary of the active sourcing activities with the TalentManager of the entire team.
Team permissions
In this administration section, TalentManager administrators receive an overview of how many licenses they have purchased and assigned. They also receive a list of all license holders, including role assignments.

Team pools
A team pool is a specific type of talent pool in the TalentManager that is used to manage candidates that are relevant for a specific team or project group and have been shared with the team.
Team projects
Team projects are projects that can be edited and viewed by all staff members who have a license for the TalentManager. They can be found in the "Projects" area.
Team role
Roles are a collection of defined permissions that determine what actions TalentManager users can and cannot perform, such as creating projects or running reports. Each person can only have one role. In the TalentManager, there are two roles: recruiter and administrator.

T
Templates
A template is a standard message that you can use to repeatedly send messages with the same pattern. As a user of the TalentManager, you can create your own message templates and select them in the message window in the mailbox.
Time to hire
The metric "Time to hire" measures the time between the start of the recruiting process and the signing of a contract by a candidate acquired through active sourcing. A low time to hire, often indicates well-organized recruiting processes and ensures timely filling of vacant positions.
In the Recruiter Insights, you can keep an eye on your "Time-to-Hire" in the related section and also see how many positions you were able to fill within the timeframe you've set.

Visits
A profile visit in TalentManager allows a recruiter or a company to view a candidate's profile. When a company or a person visits or views a detailed candidate profile, the talent is notified of the visit. This allows candidates to see who is interested in their profile.
W
Work conversations
To differentiate between private and work-related use of XING for recruiters, private correspondences can be distinguished from work conversations. A private correspondence can be converted into a work conversation, making it visible to the entire team within the TalentManager environment.

Y
Your performance
"Your Performance" is a tab in the navigation menu of the "Recruiter Insights" section in TalentManager. The displayed statistics and figures relate to the performance and activities that the individual recruiter was able to achieve in the talent management system during a selected period.
