onlyfy Application Manager offers you several ways to receive speculative applications. In this article we will present them to you and show you how to use them best.
In the following overview, we have summarized three ways in which interested parties can send you a speculative application:

Speculative applications as job slots
By default, create a separate job for speculative applications. To do this, click "Create job" on the dashboard or "Add" under "Jobs" (1). For example, use "Initiativbewerbungen/Speculative applications" (2) as the job title and fill out the job details.
Select the desired application process in the "Job settings". You can also define your own application process for speculative applications in "Settings" > "Applications" > "Application process".
In the "Job ad" step, you define how your job ad will look and enter the content. You can also use a template that you have previously created in "Settings" > "Jobs" > "Job templates".
In the final step, under "Publish", decide where you want to post your job: on your own career site, on social media, and/or on a job board of your choice.

After you post your job, candidates can submit a speculative application. Since you assigned an application and hiring process to your job during the job creation process, your speculative applicants will, by default, go through all application steps. After completing the application, the candidates are assigned to the job and are available in both the job-specific (1) and general candidate lists.
In the candidate profile, this type of speculative application is displayed in the "Active applications" category (2) under the job name you selected for the speculative applications.
Speculative application via the candidate center
The Application Manager also offers a default process that allows candidates to apply directly through the candidate center. To enable this process, go to "Settings" (1) > "Applications" (2) > "Application settings" (3) > "General spplication settings" (4) and move the slider at "Allow speculative applications" (5) to the right.
In this case, you can also define a separate application process for speculative applications. To do this, go to "Settings" (1) > "Applications" (2) > "Application process" (3). Click on the three dots (4) for the desired process and select "Set as default for speculative applications" (5). The selected process will now be tagged accordingly (6).

After you have allowed the speculative applications, the "Sign up" button (1) appears in the candidate center, where interested parties can register (2) and go through the application process (3).
Since speculative applications are not assigned to a job, all candidates who have applied in this way will be displayed in the general list of candidates. To display the speculative applications in a list, go to "Candidates" (1), click on "More" (2) and set the filter under "Job" (3) to "Speculative applications" (4).
In the candidate profile, the speculative application is displayed under "Active applications".
Embed speculative applications on your own career page
There are two ways to integrate speculative applications into your career site:
Link to registration page
You are welcome to include the link to the registration page that we showed you in the chapter "Speculative application via the candidate center" on your homepage by placing the link behind a button. For example, behind the button "Apply now by initiative!".
Widget configuration
If you are using the website widget, you can also integrate the link to the speculative application login directly on your homepage by creating a separate link (e. g. above or below the widget). Add the following special URL parameter to the end of this link: ?jh=0&sa=1
- "jh": The "jh"-parameter tells the widget, which job it should load (jh = job-handle, 0 = no job, speculative application).
- "sa": The second parameter “sa=1” tells the widget, that it should skip the job-ad and instead start the application process.
Let's say you have integrated the widget into your homepage using the following link:
http://mycompany.com/jobs
The link for initiating a speculative application would then be:
http://mycompany.com/jobs?jh=0&sa=1
Now you can embed this link behind the "Apply now by initiative!" button.
E-mail inbox for speculative applications
By default, we provide you with an e-mail inbox for your speculative applications. You can find the mailbox under "Settings" (1) > "Applications" (2) > "E-mail applications" (3) > "E-mail inbox for speculative application" (4).
All applications sent to this e-mail address will be considered speculative.
Just as speculative applications via the candidate center, speculative applications via e-mail are not assigned to a job. To display the speculative applications in a list, go to "Candidates" (1), click on "More" (2) and set the filter under "Job" (3) to "Speculative applications" (4).
In the candidate profile, the speculative application is displayed under "Active applications" (1). In addition, the icon for e-mail applications appears in the upper left corner (2).
Assign speculative applications
If a speculative application meets the requirements of a vacancy, you have the following two options directly in the candidate profile to assign it to a vacancy.
Assign speculative applications to a job
This function allows you to copy or move the application with all attachments to a specific job. Depending on your choice, the speculative application will be retained or deleted. The candidate profile is then added to the job.
To select a job, open the profile of the desired person and click on "Assign to a job" (1). Now select the desired job from the list (2) and activate the following fields if necessary:
- „Copy documents from existing application“ (3): Enable this option to transfer all documents from the speculative application.
- „Cancel existing application“ (4): If you want to withdraw the speculative application at the same time, check this box.
Once you confirm your entries (5), the speculative application will be assigned to a job.
Invite candidate to apply
Invite the candidate to apply for the suitable job. In this case, this person will receive an e-mail with an application link, through which he/she can apply. As soon as the application is completed, the new application will appear at the respective job.
To start the process, open the profile of the desired person and click on "Contact" (1) > "Invite to apply" (1). Now select the desired job from the list (2) and write a message to the person applying (3).
